Terms of Service
Last updated September 3, 2026
These terms are the agreement between you and us when you book a ride. They cover how payment works, what happens if you cancel, and the rules everyone in the vehicle has to follow.
1. Accepting these terms
These Terms of Service are a binding agreement between you and Rimrock Limo LLC, doing business as Rimrock Limo (“we,” “us,” “our”). By creating an account, booking a ride, or riding in our vehicle, you accept these terms. If you do not agree with them, do not book.
If you book on behalf of a group, you are accepting these terms for everyone in your party, and you are responsible for making sure they follow them. Our Privacy Policy is part of this agreement.
2. What we provide
We provide chauffeured luxury transportation in the Billings, Montana area using a custom Mercedes-Benz Sprinter, sold as packages for a fixed time block. What is included in each package (duration, passenger capacity, and any add-ons) is described on that package’s page at the time you book.
We are a transportation provider. We are not responsible for the events, venues, or destinations you travel to.
3. Your account
You need an account to book. You agree to give accurate information, keep it current, and keep your password confidential. You are responsible for everything that happens under your account. Tell us right away at [email protected] if you think someone else has access to it.
We may suspend or close an account that violates these terms, that we reasonably believe is being used fraudulently, or whose holder has been abusive toward our drivers or staff.
4. Booking and payment
Prices are shown in U.S. dollars on the package page and confirmed at checkout. A booking is only created once your payment is successfully collected; until then, your date is not held.
- Deposit. You pay a deposit at checkout to secure your date. The amount is shown before you pay.
- Or pay in full. At checkout you may choose to pay the entire price that day instead of a deposit. If you do, there is no balance left and we make no automatic charge before your ride.
- Last-minute bookings are paid in full. If your pickup is less than about a day away, there is no time left for the automatic balance charge below, so the entire price is due at checkout instead of a deposit. Checkout tells you which applies and shows the exact amount before you pay.
- Your card is saved. By checking out you authorize us to store your payment method and charge it as described below. If a discount brings your deposit to zero, we still collect and save a card.
- Automatic balance charge. Approximately 24 hours before your scheduled pickup, we automatically charge the remaining balance to your saved card without contacting you first. You authorize that charge when you book. If you already paid in full at checkout, there is no balance and no later charge.
- If the charge fails. If we cannot collect the balance, we will contact you. Your ride may be delayed or cancelled if the balance is unpaid at pickup time, and the deposit is not refunded in that case.
- Additional charges. Damage, cleaning, and overtime fees under sections 7 and 8 may also be charged to your saved card after your ride.
Gratuity for your driver is included in the package price. Additional tips are welcome but entirely at your discretion.
5. Cancellation, refunds, and rescheduling
Because we hold a vehicle and a date exclusively for you and turn away other bookings for that slot, our cancellation policy is as follows.
- The deposit is non-refundable once paid. This applies to every cancellation, whenever it happens.
- Cancel 14 or more days before your event date: you owe nothing beyond the deposit. If any balance has already been collected, we refund it.
- Cancel between 14 days and 72 hours before your event: the deposit is forfeited, and we may charge up to 50% of the remaining balance to cover the lost slot.
- Cancel inside 72 hours of your event, or after the balance has been charged: no refund is given. A booking made inside that 72-hour window, which is paid in full at checkout, falls under this tier from the moment it is made, so nothing you pay for it is refundable.
- No-show. If nobody from your party is present within 30 minutes of the scheduled pickup time and we cannot reach you, it is treated as a cancellation inside 72 hours, with no refund.
Requesting cancellation
You may request cancellation from your booking page. A request is not itself a cancellation: your booking stands until we review and confirm, and refunds follow the tiers above. While a request is pending we pause the automatic balance charge described in section 4. If we decline the request, the booking continues as scheduled and the automatic charge resumes — immediately, if your pickup is already inside the roughly 24-hour window.
Rescheduling
You may request a new date from your booking page. Reschedules are subject to availability and to our approval, and a request is not a cancellation; your original booking stands until we approve the new date. Rescheduling to a date with a higher price means paying the difference.
If we cancel
If we have to cancel for any reason on our end, such as mechanical failure, unsafe road conditions, or a driver emergency, you get a full refund of everything you paid, including the deposit, or a reschedule at no charge, whichever you prefer. That refund is our entire responsibility to you for the cancellation.
Approved refunds are returned to the original payment method and typically appear within 5 to 10 business days. We may make exceptions to this policy at our discretion, but doing so once does not obligate us to do it again.
6. Age requirement and alcohol
You must be at least 21 years old to book, and the person who booked must be present in the vehicle for the entire ride. We may ask for government-issued photo ID at pickup.
- Passengers under 21 may ride only when accompanied by a responsible adult from the booking party.
- No one under 21 may possess or consume alcohol in the vehicle, at any time, for any reason. If anyone under 21 is drinking, the driver will end the ride immediately with no refund, and we may contact law enforcement.
- Where passengers of legal drinking age consume alcohol, they do so at their own risk and are responsible for their own conduct. Open-container and other Montana laws apply and must be followed.
- The driver may refuse to transport, or may stop transporting, anyone who is visibly intoxicated to the point of being a risk to themselves or others.
7. Conduct in the vehicle
The driver has final authority on all matters of safety and may end the ride at any point, at a safe location, if these rules are broken. A ride ended for a rules violation is not refunded, and no portion of unused time is credited.
- No smoking or vaping of any kind in the vehicle.
- No illegal drugs or controlled substances in the vehicle, and no illegal activity of any kind.
- Do not exceed the passenger capacity. The maximum for your package is shown when you book and at checkout. The driver may refuse to depart if more people are present than the vehicle is rated and insured for, and no refund is given.
- Everyone stays seated while the vehicle is moving. No standing, no hanging out of windows, no opening doors in transit.
- No weapons or firearms in the vehicle.
- Treat the driver with respect. Harassment, threats, or abuse toward the driver ends the ride immediately.
8. Damage and cleaning fees
You are financially responsible for any damage caused by you or anyone in your party, beyond ordinary wear. This includes torn or burned upholstery, broken lighting, sound, or television equipment, damaged trim, and anything taken from the vehicle.
- Cleaning and sanitation fee. A flat fee of $250 applies to vomit, spilled food or drink that soaks into upholstery or carpet, or any other mess requiring deep cleaning that takes the vehicle out of service.
- Damage. You are responsible for the actual cost of repair or replacement, plus lost revenue for the days the vehicle is unavailable.
- Overtime. If your party keeps the vehicle past the end of the booked time block, additional time is billed in 1-hour increments at the package’s hourly rate.
- These charges are billed to the payment method saved for your booking. We will tell you what we are charging and why before we charge it.
We are not responsible for personal property left in or lost from the vehicle. Check your belongings before you leave.
9. Delays and things outside our control
We are not liable for delays or failure to perform caused by things we do not control, including weather, road or highway closures, traffic, accidents, construction, mechanical breakdown, acts of government, or emergencies. Montana winter conditions in particular can make a route unsafe on short notice; the driver decides whether conditions are safe to travel.
If a delay is caused by your party, such as running late to pickup, extending a stop, or adding a destination, that time comes out of your booked block. It does not extend it.
10. Discount codes
Discount codes have no cash value, cannot be exchanged for cash, and may be limited to certain packages, dates, add-ons, or customers. Each code carries its own expiration and usage limits. We may cancel or refuse a code we reasonably believe is being used fraudulently, shared without permission, or applied in a way it was not meant for. Only one code applies per booking unless we say otherwise.
11. Reviews and content you submit
You can leave a review after your ride. By submitting one, you give us permission to publish it on this site and in our marketing, along with your first name and last initial. Reviews are moderated before they appear, and we may decline to publish or may remove a review that is abusive, dishonest, off-topic, or contains someone else’s personal information. You keep ownership of what you write, and you can ask us to take a review down at [email protected].
The same applies to special requests and messages you send us: keep them relevant, and do not send us anything unlawful or anyone else’s confidential information.
12. Limitation of liability
We carry the commercial insurance required for the transportation we provide. Beyond that coverage, and to the fullest extent allowed by Montana law:
- We are not liable for indirect, incidental, or consequential damages, including missed flights, missed events, lost profits, or lost enjoyment, arising from your use of the service.
- Our total liability for any claim relating to a booking is limited to the amount you actually paid us for that booking.
- You are responsible for the conduct of everyone in your party and agree to indemnify us against claims arising from their actions, including damage they cause and injuries resulting from their own intoxication or misconduct.
Nothing in these terms limits liability that cannot be limited by law, including liability for our own gross negligence or willful misconduct.
13. Service messages
Booking a ride means we will email you about it: confirmations, reminders, and notices about changes. These are not marketing and you cannot opt out of them while you have an active booking, because they carry information you need.
Text messages are separate and require your explicit opt-in. Reply STOP to any text to stop receiving them, or change the setting on your profile page. See the Privacy Policy for details.
14. Governing law and disputes
These terms are governed by the laws of the State of Montana, without regard to its conflict-of-law rules. Any dispute that we cannot resolve directly will be brought in the state or federal courts located in Yellowstone County, Montana, and you and we both consent to that venue.
Please contact us first at [email protected]. Most problems are faster to fix with a conversation than a filing.
15. Changes to these terms
We may update these terms. The version in effect for your booking is the version published when you booked. If we make a significant change, we will update the date at the top of this page and notify account holders by email.
If any part of these terms is found unenforceable, the rest stays in effect.
